Introduction

A set of activities adding dynamism to your face-to-face or remote meetings.

    • A Meeting is a collection of activities designed to encourage interactivity at your face-to-face or remote meetings:

      • Adventure
      • Brainstorm
      • Capsule
      • Presentation
      • Quiz
      • Survey
      • Live Questions

    • In Klaxoon Home, click on NEW-shadow.png and then on button-meeting.png.

      The Creation pop-up is displayed:

      Enter the Meeting name (maximum 80 characters), add an image, and then click on create.

      Where is the image for an Activity displayed?

      Activities are displayed in Home or in a Network as an illustrated box.

      When creating them, select an image stored on your device or a photo taken on the fly. If you do not choose one, your profile photo will be used by default.

      You can then subsequently change this in Studio using the file picker (Klaxoon Storage).

      The editing screen is displayed:

      In the Settings box, enter an introductory text for your Meeting (for participants) and then click on save.

      In the Activities box, click on the icon for an Activity, then on create and then on create a new....

      Reusing existing material

      You can also select existing activities on the add activities screen and then click on validate.

      The Activity naming pop-up is displayed:

      Enter the name of the Activity and follow the normal steps for creating an Activity.

      The Activity is added to the list:

      How do I make changes to the list?

      On each line:

      • Drag and drop button-dnd-dots.png to move items.
      • Click on button-burger.png to edit, duplicate or delete an item.

      In the Live Questions box, click on the icon for a question and then on add.

      The question input pop-up is displayed:

      Enter the question title and, depending on the question type, define the anticipated answers and click on create.

      The Live Question is added to the list:

      In the Presentations box, click on add to add existing presentations or create new ones.

      Your Meeting is ready to be shared:

      Click on Launch and then select how you wish to broadcast the Activity.

      The Activity dashboard is displayed:

    • There are 3 types of Live Questions:

      Participants answer a survey question:

      • button-meeting-livevote-vote.png Poll: single choice question (SCQ) from a maximum of 4 possible answers
      • button-meeting-livevote-evaluation.png Rating: score out of 5 stars
      • button-meeting-livevote-yesno.png Yes/no: SCQ from 2 possible answers (yes or no)

      The survey result is displayed and updated live on the dashboard.

      Participants must enter a word or number in response to a 'find the word'-type question. Minor keying errors are allowed.

      The first participant to enter the correct answer wins the challenge. The activity then stops and the result is posted on the Board with the winner's name.

      Participants enter keywords in response to a question or topic. These words are displayed as a list or 'word cloud' displayed live on the dashboard.

    • With the Presentations, you can integrate your slide shows directly into your Klaxoon Meetings: create your pages directly in Klaxoon (texts, images, videos) or import pages from PDF documents.

      To create a Presentation

      In the editing screen for a Meeting, open the Presentations box:

      Click on add a presentation then create a new presentation.

      Reusing existing material

      You can also select Presentations that already exist in your Klaxoon Storage and click on validate.

      Enter a title for your Presentation and then click on create.

      The Presentation editing screen is displayed:

      Preview

      View your Presentation as it would appear on the Meeting dashboard; in Preview, the links to the Activities are visible, but they have been disabled.

      Add page

      Add a page to your Presentation from a Capsule or from another Presentation in your personal Klaxoon Storage, or create a new page by clicking on create a new page. (More info: Creating a page)

      Import file

      Add a page to your Presentation from a PDF file that already exists in your personal Klaxoon Storage, or import a new one by clicking on import files.

      Presentation pages

      A thumbnail for each page of your Presentation; drag and drop the pages to reorganize them.

      Action button

      Create a link on your page to launch an Activity in your Meeting, view an external website or play an audio file.

      Action: External Link

      Indicates that the page includes a shortcut to an external website

      Live Question action.

      Indicates that the page includes a shortcut to launch a Live Question in your Meeting.

      Activity action

      Indicates that the page includes a shortcut to an Activity in your Meeting (here, an Adventure).

      Sound action

      Indicates that the page includes a button to play an audio file.

      Options

      Display a pop-up menu to:

      • Edit the page
      • Add an Action
      • Duplicate the page
      • Delete the page

      Back button

      Once your Presentation is ready, click on button-back.png to go back to the editing screen for the Meeting.

      Your Presentation is added to the Meeting:

    • Using the Page feature, it is possible to incorporate text, images, and videos into the following activities :

      • Capsule
      • Presentation (in Meeting)
      • Adventure (as an introduction to each step)
      • Mission (as an introduction to each step)

      There are various benefits to creating content pages using this Klaxoon feature:

      • Optimized responsive display for all screens (both TV and smartphone)
      • Note taking
      • Search engine content indexing

      To create a page

      In the editing screen for a Capsule or Meeting, click on add page

      The page selection tool is displayed:

      Reusing existing material

      Using the page picking tool, it is possible to reuse content that you have previously created for another activity.
      Just check the boxes of the pages you require and then click on Submit


      Click on create a new page

      Cancel

      To cancel a page you are creating (your changes will be lost).

      Add an image

      To insert an image from the file picker.

      Add a video

      To insert a video:

      • (recommended) copy/paste a link to a YouTube, Dailymotion, or Vimeo video
      • (Only for broadcasting using the Klaxoon Box) Click on 'browse' to select an MP4 file stored on your device.

      Bold

      Select your text and then click here to make it bold.

      Italics

      Select your text and then click here to change it to italics.

      Text style

      Select your text and then click here to select a text style: Normal, Heading 1, or Heading 2

      Gray

      Select your text and then click here to make it grey.

      Quote

      Select your text and then click here to switch the paragraph to quotation mode (italics and tabulation).

      Numbered list

      Select your text and then click here to create a numbered list.

      Bulleted list

      Select your text and then click here to create a bulleted list.

      Full screen

      Displays the text editor in full-screen mode.

      Resource name

      A resource may be a document mentioned on the page or content used to examine the topic in greater depth.

      Enter the name of the external resource (maximum 40 characters).

      Link to the resource

      Copy/paste the link to the external resource.

      Add a resource

      For adding a link to an external resource.

      Delete the resource

      Deletes the resource on the appropriate line.

      Save

      Saves the page and closes the editing screen.

    • The Meeting interface is used to manage activities and control information displayed on participants' screens.

      Burger Menu

      Displays a menu enabling you to:

      • Leave the Meeting: it stays open so you can continue it later and participants can continue to connect and take part in open activities.
      • Full screen: enable/disable.
      • High-contrast mode: enable/disable.
      • Zoom: increase/decrease the size of text and buttons.
      • Invite participants to the Meeting.
      • Change the Meeting by accessing the editing screen in Studio.
      • Close the Meeting: it is permanently closed and you can generate and share the report.

      Presentation

      Opens presentations (videos, images, PDFs).

      Pause

      Freezes all activity on participants' devices. Click on the play button to unfreeze devices.

      Stopwatch

      Displays the stopwatch/timer.

      Number of participants

      Displays a list of connected participants. The black bubble shows the number of participants.

      If required, you can delete a participant from the list. His/her contributions to activities will continue to be recorded. S/he can subsequently reconnect.

      Board filters

      Allows you to only show certain interactions on the board – Messages, Activities, Live Votes, Live Challenges, Live Storms, shared Presentations, flagged items.

      Search field

      Enter a keyword to find an item on the Board.

      Session image and objectives

      Displayed at the very top of the board and defined in the session editing screen in Studio.

      Board

      Main Meeting screen on which all messages sent by participants are displayed in chronological order along with all Activities and Live Questions and all presentation slides shared by the facilitator during the session.

      Click on an item to enlarge it, flag it, or delete it from the Board.

      Board button

      Displays the Board.

      Activities button

      Allows you to access the screen used for launching Activities and Live Questions scheduled for the Session or create new Live Questions.

      Stats button

      Displays Meeting statistics.

      Messages button

      Displays the messaging pane for the Meeting allowing you to reply to or delete messages.

      Access code

      Displays a popup with connection details for participants.

    • During a Meeting, both the participants and facilitator can interact by posting instant messages, which are displayed publicly on the Board on the main screen:

      Using the facilitators screen, it is possible to control interaction by deleting messages or disabling instant messaging.

      To access the messaging interface

      To the right of the facilitator's screen, click on button-meeting-messages.png

      The messaging interface is displayed:

      Open/close the messaging pane

      Access the message management interface (add/delete).

      Enable/disable messages.

      Allows or prohibits instant messaging.

      Message posted on the Board

      Author, text, time elapsed, number of hearts added.

      Delete the message

      Deletes a message from the Board.

      Write a message

      Opens the message writing pane.

       

    • Presentations are aids used by facilitators. They may include pages created in Studio, images, videos, and PDF documents.

      To display a Presentation

      In the top right corner of the facilitator's screen, click on button-meeting-presentation.png

      If your session includes several presentations, click on the one you require.

      The presentation is displayed:

      Table of contents

      Display clickable miniatures of slides allowing you to browse the presentation as required.

      Synchronize this presentation

      When synchronization is enabled, slides are displayed live on participants' devices. The button turns blue. Click on it again to disable.

      Minimize this presentation

      To return to the Meeting Board – when you re-open the presentation, the last slide viewed is displayed.

      Close

      To return to the Meeting Board – when you re-open the presentation, the very first slide is displayed.

      Previous slide

      Displays the previous presentation slide.

      Next slide

      Displays the next presentation slide.

      Activity box

      Click on the box to launch the Activity, Live Question, or URL link (website) you have set.

      Drag and drop button-dnd-dots.png to move the box.

      Slide text

      Click to display the text to the right of the image or video – click on the image or near the video to move the text back to the area below it.

      Play/Pause

      When an audio file is linked to a slide.

      Share the slide

      Add the slide to the Board in order to share it in the participants' screen.

       

    • When you create a Meeting in Studio, the following activities may be added:

      • Adventure
      • Brainstorm
      • Capsule
      • Quiz
      • Survey

      They are launched using a dedicated screen in the facilitator's interface.

      One activity at a time

      Unlike Live Questions, only one activity can be launched at a time, so the current activity must be closed to open a new one.

      Once launched, an activity can no longer be edited in Studio.

      Once an activity is open, participants cannot access other interactions (Live Questions, Messages, Notes).

      To launch an activity

      To the left of the facilitator's screen, click on button-meeting-activities.png

      The activities screen is displayed:

      How do I create a Brainstorm on the fly during a Meeting?

      Using the Meeting dashboard, it is possible to create a Brainstorm without going back to Studio and launch it immediately.
      Just click on button-meeting-brainstorm-add.png, enter the Brainstorm name, and then click on create


      In the Meeting Program box, click on the activity you wish to launch.

      The activity dashboard is displayed.

       

       

    • Live Questions provide a means of asking participants questions in a Meeting.

      They may be prepared in Studio when creating a Meeting or added, if required, using the facilitator's interface.

      To add a Live Question during a Meeting

      The activities screen is displayed:

      In the Live Questions box, click on: button-meeting-livevote.png for a Live Vote, button-meeting-livechallenge.png for a Live Challenge, or button-meeting-livestorm.png for a Live Storm, and then click on button-meeting-livequestion-add.png

      3 types of Live Vote

      At the top of the create Live Vote popup, click on the question type:

    • The facilitator can start a stopwatch or timer at any time to control the length of an activity.

      Please note
      Drag and drop the stopwatch/timer popup to move it.
      You cannot use the stopwatch and timer at the same time.
      If you close the popup, the stopwatch or timer stops.

      To start the stopwatch

      In the top right corner of the facilitator's screen, click on button-stopwatch.png and select button-stopwatch-stopwatch.png

      The stopwatch popup is displayed:

      Click on start to start the stopwatch.

      Click on: pause to stop the stopwatch, reset to reset it, button-stopwatch-minimize.png to reduce the size of the popup, and button-stopwatch-close.png to stop the stopwatch and close the popup.

      To start the timer

      In the top right corner of the facilitator's screen, click on button-stopwatch.png and select button-stopwatch-timer.png

      The Timer popup is displayed:

      Enter the required time for the timer (minutes : seconds).

      Check the required actions at the end of the timer:

      • Pause: participation in the activity in progress is stopped and the message: 'Heads up!' is shown on participants' screens.
      • Play a sound: a horn sounds (click on test to perform a test)

      Click on start to start the timer.

      Click on: pause to stop the stopwatch, reset to reset it, button-stopwatch-minimize.png to reduce the size of the popup, and button-stopwatch-close.png to stop the stopwatch and close the popup.

      At the end of the timer, a popup is displayed to alert you that time is up:

    • Once connected to a Meeting, participants access the interface shown below to take part in activities and live questions and interact using messages:

      Burger Menu

      Display the access code or exit the Meeting and return to Klaxoon Home.

      Session image and objectives

      Displayed right at the top of the Board and defined by the facilitator.

      Board

      Main Meeting screen on which all messages sent by participants are displayed in chronological order along with all Activities and Live Questions and all presentation slides shared by the facilitator during the session.

      Click on a message to enlarge it and add a heart to it.

      Click on an activity to take part in it (while it is open) or to view the results (once it is closed).

      Number of hearts

      Number of hearts added by participants to a message.

      Activities menu

      Show or hide the menu.

      Message

      Create a new message which is shown on the Board :

      • Text of max. 140 characters.
      • Drawing + 80-character key
      • JPG, PNG or GIF image (unanimated) + 80-character key

      Live Questions

      Notes

      Allows you to create a new personal note, which can be accessed from the profile photo menu. Users connected with pseudonyms cannot view their notes.

    • After a Meeting, the facilitator closes the activity in order to generate a report. The report, which is provided directly to participants on the Meeting Board, presents the results of interactions and activities.

      To generate a report

      In the top left corner of the facilitator's screen, click on button-burger.png then button-close-activity.png and close the meeting and publish the report.

      Any open activities are closed.

      After rating the Meeting (score out of 5 stars and comment), participants can view the Meeting Board including all the messages, activities, and presentations used during the Meeting.

      The closing screen is displayed, showing the average score awarded to the Meeting by participants as well as their comments:

      Participants' report tab
      Click on a participant's name to display his/her information and write a comment, which is sent solely to him/her as a message on the Meeting Board.

      Group report tab
      Write your Meeting report, which is sent to all participants on the Meeting Board.

      Export tab
      In this tab, you can download any information on your session that you wish to keep.
      Select the data you wish to export and then click on 'download' to generate a .zip file containing:
      • A full report in PDF format.
      • All Meeting data in PNG (image) and CSV (Excel spreadsheet) format.

    • Statistics are used for measuring participation in a Meeting.

      To access the statistics screen

      To the left of the facilitator's screen, click on button-meeting-stats.png

      Number of klaxs

      Klaxs relate to all forms of participant interaction including messages, ideas, comments, participation in an activity, etc.

      Number of participants and average klaxs

      The number of users connected to the Meeting and the average number of interactions per participant.

      Engagement rating

      Percentage of connected users who have interacted at least once (e.g. by sending a message or taking part in an activity).

      Results

      Average score of participants in quiz questions (in the Quiz, Adventure, and Capsule activities).

      Total Meeting length

      The stopwatch stops when the Meeting ends.

      List of launched activities

      Activities that have been prepared but not launched are not displayed.

      Number of klaxs per activity

      Number of interactions per activity.

      Engagement rating per activity

      Percentage of connected users who have taken part in the relevant activity.

      Results per activity

      Participants' average score for the relevant activity.

      Activity length

      From start to end.

    • Live Questions provide a means of asking participants questions in a Meeting.

      They may be prepared in Studio when creating a Meeting or added, if required, using the facilitator's interface.

      To launch a Live Question

      To the left of the facilitator's screen, click on button-meeting-activities.png

      The activities screen is displayed:

      The question dashboard is displayed in full-screen mode and is shown as a pink box on the Board for participants

      Minimize

      Return to the Board of your Meeting without closing Live Questions.  Participants can respond when they want.  You can reopen the results screen by clicking on the pink banner in the Board.

      Close

      Close the Live Question.  Participants can no longer respond.  Results are recorded in the Board

      Number of voters/number of Meeting participants
