Introduction

A virtual whiteboard for posting and organizing ideas.

    • A Brainstorm is a virtual whiteboard on which participants can post ideas in the form of text, photos, or drawings. It offers various annotation and classification options for numerous uses such as:

      • Creative meetings
      • Drawing up action plans
      • Producing individual or group to-do lists
      • Debriefing or feedback
      • Etc.

      A Brainstorm may be incorporated into a Meeting or shared as a stand-alone activity.

    • How do I create a Brainstorm on the fly during a Meeting?

      Using the Meeting dashboard, it is possible to create a Brainstorm without going back to Studio and to launch it immediately.
      Just click on button-meeting-activities.png > button-meeting-brainstorm-add.png, , enter the Brainstorm name, and then click on create.

      To create a stand-alone Brainstorm:

      In Klaxoon Home, click on NEW-shadow.png and then on 7.png.

      The Creation pop-up is displayed:

      Enter the Brainstorm name (maximum 80 characters), add an image, and then click on create.

      Where is the image for an Activity displayed?
      Activities are displayed in Home or in a Network as an illustrated box.
      When creating them, select an image stored on your device or a photo taken on the fly. If you do not choose one, your profile photo will be used by default.
      You can then subsequently change this in Studio using the file picker (Klaxoon Storage).

      The editing screen is displayed:

      In the Settings box:

      • enter the Brainstorm objectives and instructions which will be presented to the participants when they connect.
      • If necessary, click on browse to add a background; this is shown on the whiteboard and may be used as a framework for classifying ideas.
      • Click on save.

      In the Mode box, select the participants rights:

      • Free: The participants can send ideas and move them on the board.
      • Controlled by the facilitator: The participants can send ideas which will be placed on the board by the facilitator.

      (Optional) In the Categories box, check or uncheck depending on whether or not you wish to use categories (you can go back to this in the dashboard).

      What are categories for?
      They make it easier to organize ideas, the facilitator can create and name up to 20 categories.
      Participants can assign categories to their ideas by selecting them beneath notes.
      The facilitator can then use the categories to sort the ideas and group them together on the board.

      (Optional) If you have enabled categories, click on button-add.png to add them, then enter their names and click on save.

      (Optional) In the Dimensions box, check or uncheck depending on whether or not you wish to use dimensions (you can go back to this in the dashboard).

      What are dimensions for?
      The facilitator can create up to 3 dimensions in order to further define ideas.
      Dimensions appear as free fields below each idea in which participants can enter any additional specifications (e.g. their first names, dates, keywords, etc.) to sort ideas more precisely.

      (Optional) If you have enabled dimensions, click on button-add.png to add them, then enter their names and click on save.

      Your Brainstorm is ready to be shared.

      Click on Launch and then select how you wish to broadcast the Activity.

      The Brainstorm dashboard is displayed.

    • Once the Brainstorm is launched, the facilitator accesses the interface shown below to sort and annotate ideas posted by participants:

      Burger menu

      Display a menu enabling you to:

      • Quit the Activity (it remains open and participants can connect and explore it).
      • Invite participants to the Activity (in Studio).
      • Change the Activity by accessing the editing screen in Studio.
      • Download data in CSV format (spreadsheet) showing the results of the Activity.
      • Close the Activity: this closes it permanently preventing participants from sending any further ideas, although they can view the results. The facilitator can still develop the Brainstorm.

      Inbox

      Display the inbox. Various filters can be used with this idea picking tool:

      • Search by keyword
      • By color
      • By category
      • By number of hearts

      Inbox in list format

      Display or hide the vertical list of ideas: using the selection rectangle, you can move several ideas at once.

      Idea

      Drag and drop an idea to move it; double click on an idea to edit it.

      Pop-up buttons

      Different icons are displayed depending on the type of object selected:

      • Pencil: edit the content of the object.
      • Eye: enlarge drawings or images.
      • Label: link ideas to categories.
      • Palette: change the color of ideas.
      • Filled shape/outline: to specify whether or not the shape you are about to draw is fully shaded.
      • Layers: bring the object forward to the top layer or push it back.
      • Arrow: remove the idea from the table (it is sent back to the inbox).
      • Trash can: delete the object.

      Drag cursor

      Click to enable the drag cursor on the board.

      Selection zone

      Click to enable the multiple object selection rectangle (ideas or annotations) on the board.

      Undo/Redo

      Click on the left arrow to undo your last action or the right arrow to redo it.

      Annotation tools

      Display the tools:

      • Insert a text field.
      • Create a link to 2 ideas.
      • Drawing tools: draw freehand with the pen, marker or brush (in order of thickness).
      • Select and draw a shape on the board: rectangle, circle, arrow, etc.
      • Select a text or drawing color.
      • Erase: erase objects with a click.

      Insert an image.

      Insert an image from your device onto the board.

      Brainstorm access code

      Share this with participants so that they can access the Brainstorm directly.

      Create an idea

      Snapshot

      Back up an image of the board in its current version and share with participants.

      Search

      Display the idea search bar on the board with different filters:

      • Search by keyword
      • By color
      • By category
      • By number of hearts

      Move

      Lock the position of the Brainstorm objects on the board:

      • Board only: view mode; you cannot move the objects on the board (participants can continue to do this if you have authorized them to do so).
      • All items: you can move the items on the board

      Options

      Mode
      Used to select the participants’ rights:
      Free: The participants can send ideas and move them on the board.
      Controlled by the facilitator: The participants can send ideas which will be placed on the board by the facilitator.

      Background
      Show/hide the background image.
      Enable/disable night mode (the board turns black).
      Adjust the size of the background image.

      Colors
      Edit, add a caption, add or delete colors (maximum of 8).

      Categories
      Edit, add, or delete categories (maximum of 20).

      Dimensions
      Edit, add, or delete dimensions (maximum of 3).

      Smart zones
      Display a pop-up with options to simplify the way ideas are grouped on the board by category or dimension.

      Views
      Manage participants’ access to different Brainstorm display modes.

      Move and edit
      Authorize participants to move or edit other participants’ ideas.

      Key
      Display the idea color key on the board.

      Mini-Map
      Display the thumbnail of the board to allow you to move around quickly on the main Brainstorm board.

      Magnetism
      Enable a magnetic grid to help you align the objects more easily on the board.

      Objectives
      Display the Brainstorm objectives (or instructions) on the board

      Reset
      Display a pop-up with options to simplify the deletion of ideas or annotations.

      Views

      Allows you to change the Brainstorm display mode:

      • Snapshot: Slide show of snapshots taken of the board.
      • Board : The ideas are placed manually on the infinite whiteboard
      • Column: The ideas are organized by their category which can be modified by drag'n drop.
      • List: Table enabling the ideas to be sorted according to different criteria (colors, categories, dimensions, etc.).

      Pause

      To freeze all Activity on participants' devices; click on the play button to unfreeze the devices.

      Stopwatch

      Display the stopwatch/timer.

      Number of participants

      Display the list of connected participants. The black bubble shows the number of participants. If required, you can delete a participant from the list. His/her contributions to Activities will continue to be recorded. S/he can subsequently reconnect.

      Mini-Map

      Thumbnail of the board allowing you to move around quickly on the main Brainstorm board.

      Enlarge the board

      Hides the toolbars to enlarge the available display area.

      Zoom

      Zoom in or out of the board.

      Synchronization

      Enable simultaneous display on participants’ devices so that they can follow your board presentation.

      Update the Smart zones

      Once the Smart zones have been enabled in the Options, you can use this button to add the new ideas placed on the board to the ideas groups.

    • Once connected to a Brainstorm, the participant can toggle between the send idea interface and the board, to organize the ideas. Their interface depends on the rights granted by the facilitator.

      Display the access code or exit the Brainstorm and go back to Klaxoon Home.

      Information

      Display instructions/objectives for the Brainstorm.

      Idea input field

      Enter text, draw a picture, or import a photo.

      Text

      Enable ideas to be entered in text format.

      Drawing

      Enable the drawing function.

      Image

      Select an image from your terminal.

      Category

      Assign a category to your idea (if the facilitator has enabled the option).

      Dimension

      Specify up to 3 dimensions (if the facilitator has enabled the option).

      Idea color

      Select the colors of ideas.

      Reset idea

      Delete the current idea.

      Remaining number of characters

      Ideas must be no longer than 250 characters.

      Send

      Share the idea with the facilitator and the other participants.

      Board button

      Live view the board on which the ideas are organized:

      Board on which the ideas are organized and annotated by the facilitator, and (if he has authorized them) by the participants

      Mini-Board

      Thumbnail of the board allowing you to move around quickly on the main Brainstorm board.

      Synchronization

      Click on this button (if it has been enabled by the facilitator) to continue the synchronization.

      Ideas

      Drag and drop ideas to move them (if the facilitator has authorized the participants to do so).
      Double-click on an idea to enlarge it and add a heart to it or edit it.

      Click to display the tools:

      Insert an image.
      Insert an image from your device onto the board.
