How to Add and Manage File Sticky Notes

TL;DR

File sticky notes let you add, preview, play, and download files (Office, PDF, images, video, and more) across Inbox, List, and Board views. Browse multipage files (up to 300 pages), extract pages, import multiple files at once, and share direct links via List view. Note: certain file types (e.g., EXE, BAT, JS) are blocked for security.

Overview

You can add, replace, or delete files in file sticky notes. File sticky notes appear in Inbox, Column, List, notification, and Question views.

Preview Files

You can preview these file types:

  • Microsoft Office: DOC, DOCX, XLS, XLSX, PPT, PPTX, DOT, DOCM, XLSM, PPTM, POT, and POTX
  • Text: PDF, RTF, and TXT
  • OpenOffice: ODT, ODS, and ODP
  • Apple iWork: Pages, Numbers, and Keynote
  • Design: PSD, EPS, SVG, and AI
  • Video: AVI, MP4, MPEG, MOV, MKV, and WEBM
  • Image: HEIC, BMP, TIFF, and RAW

Each file sticky note shows the file name and size. Depending on the file type, it may also show the page count or video duration.

Work With Multipage Files

You can browse the first 300 pages of a multipage file:

  • Use the pagination controls below the sticky note.
  • Open the file in the content viewer.

When you present a board, page navigation stays synchronized for all participants.

You can also:

  • Extract all pages as separate sticky notes from the sticky note’s context menu.
  • Extract a specific page from the content viewer.

Play or Download Files

You can play supported video files directly from a sticky note. Playback quality depends on your browser and internet connection.

To download a file, use the sticky note’s context menu or open the file in the content viewer.

Add Multiple Files

Use the Import menu to create multiple file sticky notes at once.

Find and Share File Sticky Notes

Use List view to find file, media, and link sticky notes. Select a sticky note to open it in preview mode. From there, you can edit it or return to the Board view centered on that sticky note.

Select Copy link to share a direct link to the sticky note.

Unsupported File Types

Important: For security reasons, you can’t upload these file types:

ADE, ADP, APK, BAT, CAB, CHM, CMD, COM, CPL, DLL, DMG, EXE, HTA, INS, ISP, ISO, JAR, JS, JSE, LIB, LNK, MDE, MSC, MSI, MSP, MST, NSH, PIF, SCR, SCT, SH, SHB, SYS, VB, VBE, VBS, VXD, WSC, WSF, and WSH.
