When you lead a Board in a Klaxoon Session, it is essential to understand the reopening procedure in order to preserve all the ideas and contributions of the participants. Improper handling at this critical stage can lead to the irreversible loss of your data. Here's how to avoid this common mistake and safely reopen your Board.
1 - Access the Session
From your Klaxoon dashboard, locate the Session concerned. Click on its name to open it.
2 - Open the list of activities
In the Session, find the list of associated activities. Closed Boards usually appear in the "Completed" or "Archived" section.
3 - Reopen the Board
Click on the "..." next to the desired Board, then select "Reopen" or "Restore". A pop-up will then appear with two crucial options:
- Option A: Reopen
- Option B: Reset
Focus on the critical moment: the reopening window
When you relaunch a Board in a closed Session, Klaxoon displays a pop-up with two choices:
Option 1 - "Reopen"
- What it does: Open the Board in the exact state you left it in, with all the ideas, comments and likes of the participants.
- When to use it: 99% of the time, to consult, continue work or export results.
Option 2 - "Reset"
- What it does: Delete all ideas and contributions of the Board for this Session. The Board returns to its original state, and the data is permanently lost.
- When to use it: Almost never. Only if you want to start from scratch with a new group (not recommended).
After closing the Session, you want to view the results or continue the work. However, when you reopen the Board, you will see that all ideas have disappeared, especially in "List View".
The "Reset" option was inadvertently selected when reopening, erasing all contributions.
Which method should you choose according to your needs?
1 - Review the results or continue with the same group
Recommended action:
When the pop-up appears, ALWAYS click "Reopen".
To view the data safely, prefer the "Report" tab of the Session, where all contributions are read-only.
2 - Reuse the Board template for a new group
Recommended action:
Do not "Reset" the existing Session or Board.
From your Klaxoon Studio, locate the original Board, click on "Duplicate" to create a new activity for your new group, without impacting the previous data.
Best practices to avoid data loss
- Always check the option selected when reopening the Board.
- Only choose "Reset" if you're sure you want to erase all ideas.
- Regularly save your Session reports to keep a history of contributions.
