TL;DR
Administrators can manage inactive Klaxoon users based on their last login date to improve security, free up licenses, and maintain an accurate user list. Deactivated users lose access but retain their data and can be reactivated. After 12 months, deactivated accounts and all associated data are permanently deleted.
To deactivate a user: Profile picture → Administration → Find user → Three-dot menu → Deactivate → Confirm.

Overview
Managing inactive users helps protect your account, free up licenses, and keep your user list current. A user’s last login date determines their inactivity.
Prerequisite: You must be an administrator to manage inactive users.
Why Manage Inactive Users?
- Protect your account: Deactivate unused accounts to reduce unauthorized access.
- Free up licenses: Reassign licenses from inactive users to new users.
- Keep user data current: Maintain an accurate list of people in your organization.
How Klaxoon Manages Inactive Users
- Klaxoon uses the user’s last login date to identify inactivity.
- Klaxoon notifies the user, the administrator, or both before deleting the account.
- Klaxoon permanently deletes a deactivated account 12 months after deactivation.
Important: Deletion permanently removes the user’s activities, responses, files, and other associated data.
